Job Overview
Responsible for all aspects of processing a commercial schedule contract by providing data entry functions. Manages all sold
inventory, preventing billing losses and facilitates communication with sales department regarding clients'' commercial
schedule. Works with moderate guidance in own area of knowledge.
Core Responsibilities
- Schedule, monitor, update (revise) and maintain online advertising campaigns and inventory in front end software and ad
server(s)
- Communicate regularly and effectively with Sales Department regarding the status of a client''s advertising schedule,
including placements that were not scheduled or delivered as purchased
- Monitor and analyze internet ad traffic patterns, campaign optimization and report on ad performance
- Maintain and communicate technical specs to field
- Process and distribute daily notification of missing asset instructions beginning with one week prior to launch and up until
contract start deadline
- Ensures missing copy is cleared and/or status of missing copy is communicated to Traffic and Sales Coordinators prior to
initiating the final schedule process
- Run a variety of statistical reports and monitor new products and practices that will result in more efficient process and
additional advertising revenues
- Troubleshoot any ad creative issues that affect tracking, implementation or reporting
- Primary point of contact for online advertising technical issues and questions
- Serves as subject matter expert in many Traffic functions (i.e. - verifications, assets, etc.)
- Handles accounts with highest complexity and revenue
- Fosters strong cross-functional communications regarding Traffic issues and updates with all levels within the organization,
specifically sales
- Maintain an infrastructure which will provide operational excellence and world class customer service
- Work with finance on co-op business and billing reconciliation, supports DTC 1 and DTC 2 with third-party discrepancy
research and resolution
- Assists with inquiries from Account Executives including escalation of unresolved issues from DTC 2
- Research, troubleshoot and resolve second level problem
- Assists with inquiries from Account Executives including escalation of unresolved issues from DTC 1 and 2
- Research and troubleshoot second level problems including escalation of unresolved issues from DTC 1 and 2
- Assists in training of DTC 1 and 2 personnel
- Assists with month-close update processes to facilitate maximum revenue for client orders
- Assists division management with regular metric reporting for departmental performance and aggregate advertiser delivery
- Assist with technical set-up of Traffic and Billing system
- Works with Traffic leadership to assist in identifying problems and recommends solutions
- Manage projects as assigned
- Assist management with vendor communication on open issues and enhancement requests
- Acts as Lead on behalf of Traffic management on an as needed basis
- Present at or lead part of team meetings
- Back up for team members as needed
- Perform other related duties as assigned
- Performs and schedules verification/reconciliation for clients.
- Prepares notification forms and ensures timely delivery.
- Evaluates performance of month-end procedures and distribution of reports.
- Performs month-close update procedures.
- Analyzes and prepares post-billing adjustments.
- Ensures proper maintenance of all audit trials.
- Performs research on spots missed.
- Generates invoices and balance reports.
- Prepares all information needed for co-op invoices processing.
- Trains Traffic Coordinators and Traffic Specialists as requested.
Tasks
- Inputs the titles of client advertisements into database and enters
the instructions for ad airing. Reviews contracts for accuracy, and
works with to resolve issues with changes or missing instructions.
- Maximizes billing opportunities by evaluating sold and scheduled
inventory and adjusting commercial placement.
- Reviews the status of a client''s advertising schedule. Revises and
replaces instructions for advertising broadcast schedules.
- Assists in processing late orders and coordinates the schedule
completion transfer.
- Performs an Order Verification report and reconciles against
Advertising contract. Reviews and manages unverified spots.
- Assists with month-close update procedures.
- Develops, evaluates, and recommends technical and systematic
procedures to assist in the servicing of clients. Identifies problems
and recommends solutions.
- Works on special projects as assigned.
- Assists with training for new Traffic Coordinators as requested.
- Regular, consistent and punctual attendance. Must be able to work
nights and weekends, variable schedule(s) and overtime as necessary.
- Other duties and responsibilities as assigned.
