ScotiaMcLeod is currently seeking a Branch Operations Assistant.
The Branch Operations Assistant's primary focus is to provide branch support to Management, Advisors and Associates and to act as the first point of contact for clients arriving at the branch
Ensure a high level of client service by:
o Acting as receptionist
o Greeting clients as they arrive
o Booking external and internal meetings
o Ordering catering as required
Manage all banking functions by:
o Receiving cheques and certificates from clients
o Posting cheque and certificate deposits to client accounts
o Submitting certificates to Head Office
o Depositing cheques at the local Scotiabank branch
o Maintaining a complete understanding of compliance regulations regarding banking
Manage all non-trade functions by:
o Ensuring trade corrections and trailers are entered in a timely manner consistent with regulatory regulations
o Entering all New Issues tickets and following up on outstanding tickets
Manage all name and address functions by:
o Completing all non online account management functions including address changes and shareholder communication information
o Collecting and distributing account documentation from Advisors
o Managing account closures
Manage the efficiency of Branch Operations by:
o Maintaining the branch mail system by ensuring mail is opened in a secure area and is distributed in a timely manner
o Maintaining the branch postage machine
o Ensuring inter-office mail is collected and forwarded to Head Office
o Ensuring all courier packages are picked up and delivered and are billed appropriately
o Maintaining records on all prospectus distribution
o Printing and distributing reports in a timely and efficient manner
o Ordering of branch supplies
o Excellent verbal and written communication skills
o Strong organizational skills
o Able to take initiative and work independently
o Able to meet deadlines
o Knowledge of Microsoft systems: Word, Excel and PowerPoint
o Banking background preferred
o Secondary education
o The branch is a fast paced often high stress environment often with conflicting demands.
