Grant Specialist

## Position Overview
The Center for Community Health and Development (CCHD) is a growing research center operating as a part of the KU Life Span Institute. CCHD's mission is to support community health and development through collaborative research and evaluation, teaching and training, and technical support and capacity building. CCHD accomplishes this mission by working within communities and conducting associated sponsored project research. CCHD has a diverse funding portfolio that includes fee for service income, sponsored projects, and KU Endowment resources.
The Grant Specialist position will process the financial transactions for CCHD and work closely with CCHD's Grant Coordinator to effectively administer both departmental and sponsored project funds. The Grant Specialist will complete transactions in a timely and accurate manner while exhibiting professionalism and providing excellent customer service. The Grant Specialist position will also act as a knowledgeable sponsored project planning resource, assisting with pre-award budget proposals as well as ensuring the accurate execution of post-award administrative activities.

Job Description
50% - Accounts Payable and Procurement
Process invoice payments, employee expense reimbursements, and reconcile procurement card transactions. Fulfill purchasing requests from department staff. Submit employee travel requests and assist with travel arrangements. Ensure transactional compliance with the State of Kansas, University of Kansas, KU Endowment, KU Center for Research, Federal OMB Uniform Guidance, and project sponsor policies.
20% - Sponsored Project Support
Act as an information source for Primary Investigators (PIs) regarding sponsored project budget requirements. Meet regularly with PIs and Grant Coordinator to develop spending plans for sponsored projects. Observe sponsored project spending trends. Alert PIs and Grant Coordinator of budgetary issues that may require budget reallocations or a change in budgetary scope. Compile expense information and generate projections to assist PIs with sponsored project proposal budgets, continuations, and no cost extension requests. Assist PIs with establishing subcontracts, business service agreements, and master service agreements in compliance with University of Kansas, KU Center for Research, and Federal OMB Uniform Guidance policies.
15% - Reconciliation
Assist with the maintenance of department transactions records. Complete weekly reconciliations of cost center, sponsored project, and KU Endowment funds. Verify and adjust projections. Research and correct variances.
5% - Accounts Receivable
Work with department staff and the KU Center for Research to establish fee for service contracts with clients in compliance with KU Center for Research and Federal OMB Uniform Guidance policies. Submit invoicing information to Shared Service Center for billing. Submit miscellaneous deposits to the Shared Service Center and KU Center for Research. Assist with the maintenance of accounts receivable and deposit records. Provide notification to appropriate staff members regarding past due accounts and expiring contracts.
5% - Office Operations
Provide support for general office administrative operations. Assist with reception desk duties and departmental event coordination as required.
5% - Other Duties
Act as department liaison with the Shared Service Center and other central offices on campus. Engage in the supervisory leadership of student employees. May assist with payroll effort reporting. Provide ad hoc reports as requested and perform other duties as assigned.
## Required Qualifications
1. Bachelor's degree and two years of relevant experience or High School Diploma and five years of relevant experience.
2. Computer skills in a PC/Windows environment including Microsoft Word and Excel evidenced by work history.
3. Excellent communication and organizational skills as demonstrated by application materials and interview.
## Preferred Qualifications
1. Bachelor's degree in finance, accounting, business administration, or related field.
2. Experience with University of Kansas financial systems such as FITC, Concur, IFAS, and OAC.
3. Experience with fund accounting and sponsored project administration.
4. Working knowledge of State of Kansas, University of Kansas, KU Endowment, KU Center for Research, and Federal OMB Uniform Guidance policies.
5. Experience working in a team-oriented environment, consistently meeting deadlines, taking initiative, embracing innovative ideas, and providing excellent customer service.
