Unit Secretary Behavioral Health fulltime 3:00pm to 11:30pm shif

Reporting to the Director and/or the Nurse Manager of the department and frequently under the direction of a registered nurse assembles charts, transcribes physicians' orders, maintains files/records and enters patient information into a computerized data system. Acts as a representative for the department/unit via telephone and in person.




Completion of a High School Diploma or its' equivalent with courses in office procedures. Technical training beyond high school highly desirable.





One (1) to three (3) months of prior hospital/unit based training and experience in order to acquire a basic knowledge of medical terminology, learn correct procedures for chart preparation/record maintenance and to deal effectively with unit personnel and all others.





Clerical ability necessary to transcribe orders.





Interpersonal skills necessary to frequently interact in a courteous manner with patients, physicians, nursing staff, visitors and all other departmental personnel.





Computer knowledge required. Previous experience with Microsoft Word and Excel highly desirable.





Previous experience working with office machinery including but not limited to photocopiers and fax machines.





Ability to deal with a number of tasks simultaneously.





Schedules procedures and tests with the appropriate departments/offices. Cancels orders as per current hospital and unit policies.





Initiates phone calls and utilizes the paging system as directed by nursing or medical personnel. Assists nursing and medical personnel in obtaining clinical data via telephone. Arranges ambulance transport when appropriate.





Assembles new or transferred patient's charts including Outpatient Observation charts. Inserts additional blank forms and purges charts as needed. Places discharged charts in the designated medical records pick up area within two (2) hours of the patient's discharge. Is responsible for photo-copying charts when necessary.





Notifies via telephone the appropriate departments, unit physicians and patient's family of any/all transfer orders. May send a tentative discharge list to the Admitting Department. Enters discharges into the computer.





May update the patient census board at the beginning of the shift.





Maintains an orderly work environment, including the nursing stations, conference room areas and the information board.





Assists in the orientation of new personnel including but not limited to agency nurses, new physician residents and unit secretaries. Creates an environment that supports care-givers on the unit.





May assist with staff scheduling/payroll functions as directed by the Nursing Councils.





Observes the rules of patient confidentiality.





Evaluates the environmental safety and provides an environment that is safe based on the age and developmental status of the patient.





Remains informed of developments in the area of expertise. Participates in educational programs and activities such as conferences, workshops, interdisciplinary professional meetings and self directed learning.





Conforms to the established Standards of Behavior.





Other department specific duties as assigned by unit.
